Freelance proposal email template
Clients do not need a novel. They need confidence that you understood the problem, that the price is grounded, and that saying yes is easy.
1. Subject line
Keep it specific: “Proposal — homepage redesign (2 weeks)” beats “Quick follow-up.” Specific subjects get opened; vague ones get archived.
2. Restate the goal in one sentence
Prove you listened. “You want a clearer homepage that sends visitors to a booked demo call” is better than “Thanks for chatting yesterday.”
3. Scope in bullets
List what is included and what is not. Ambiguity here becomes scope creep later. Cap revision rounds if you work fixed-price.
4. Price with a floor you trust
Derive your number from the rate calculator and, for projects, the project quote tool with contingency. State the total, payment schedule (e.g. 50% start / 50% delivery), and currency.
5. Timeline and next step
Give a start window and a decision ask: “If this looks right, reply with ‘approved’ and I’ll send the agreement today.” One clear CTA beats three soft ones.
